This Privacy Policy explains which personal data we process when you visit our website at www.meis-media.de or contact us, the purposes and legal bases of such processing, and the rights available to you.
1. Controller
The controller responsible for processing personal data on this website is:
Meis Media GmbH
Isestraße 93
20149 Hamburg
Germany
Represented by its Managing Director, Marina Dertnig
Email: info@meis-media.de
Website: www.meis-media.de
Further details are available in our Legal Notice.
2. Contact for Data Protection Enquiries
We have not appointed a data protection officer. For questions about data protection or to exercise your rights, please contact info@meis-media.de or write to the postal address above.
3. Overview
Our website is deliberately designed to minimise data collection. It uses no cookies, analytics or marketing services and does not embed third-party content, such as videos, music players, social media features or externally loaded fonts. All text, images and fonts are delivered exclusively from our own web server.
We process personal data only to provide the website technically (Section 4) and when you contact us (Sections 6 to 8).
4. Provision of the Website and Hosting
Hosting
Our website is hosted by ALL-INKL.COM – Neue Medien Münnich, proprietor René Münnich, Hauptstraße 68, 02742 Friedersdorf, Germany. According to the provider, processing takes place in a data centre in Germany. We have concluded a data processing agreement with ALL-INKL pursuant to Article 28 GDPR; ALL-INKL processes the data exclusively on our behalf and in accordance with our instructions.
Data Processed When You Access the Website
When you visit our website, your browser necessarily transmits technical data to our web server. This includes, in particular, your IP address, the date and time of access, the address requested and, insofar as your browser provides this information, details of your browser and operating system and the page you visited previously. These data are required to deliver the website's content to you.
No Access Logs
We have disabled the creation of access logs (server log files) in our hosting account; access statistics are not enabled. We therefore do not store the data mentioned above in access logs or analyse them.
Irrespective of the deactivation of regular access logging, technically necessary security and error logs may be generated during the operation of the server infrastructure. These are used, in particular, to ensure system security, detect and defend against attacks, and analyse errors. IP addresses may also be processed in this context. According to our hosting provider ALL-INKL, these log data are retained for seven days. Storage takes place in Germany.
Legal Basis
Processing is based on Article 6(1)(f) GDPR. Our legitimate interest is in providing a secure and functional website.
5. No Cookies or Storage on Your Device
Our website does not set cookies or store information on your device, for example in your browser's local storage; nor does it read information stored there. We therefore do not display a cookie banner.
The JavaScript used on the website serves exclusively for navigation, operation of the menu on mobile devices, and the validation and submission of the contact form. It does not create user profiles.
6. Contact by Email
If you contact us by email, we process your email address, the information contained in your message (for example, your name and company) and the time of the message in order to handle and respond to your enquiry.
The legal basis is Article 6(1)(b) GDPR insofar as your enquiry concerns entering into or performing a contract. In all other cases, the legal basis is Article 6(1)(f) GDPR; our legitimate interest lies in responding to enquiries addressed to us.
Our emails are stored and processed by ALL-INKL (see Section 4); this is covered by our data processing agreement.
7. Contact Form
You can send us a message using the contact form. In doing so, we process the following information:
- Name (required)
- Email address (required)
- Message (required)
- Company (optional)
Your information is transmitted to our web server, where it is checked for completeness and plausibility, and is then forwarded by email to info@meis-media.de. The sender address of this email is our own address, info@meis-media.de; your email address is entered as the reply-to address so that we can respond to you directly. Form messages are not stored in a database or on the web server. Section 6 applies accordingly to the processing of the email.
We require the mandatory information to handle and respond to your enquiry. The form cannot be submitted without it. Alternatively, you can contact us by email at any time.
The legal basis is Article 6(1)(b) GDPR insofar as your enquiry concerns entering into or performing a contract, and otherwise Article 6(1)(f) GDPR; our legitimate interest lies in responding to enquiries addressed to us.
8. Protection of the Contact Form Against Misuse
To protect the contact form against automated spam messages and misuse, we use only our own protective measures on our web server. We do not use external services such as Google reCAPTCHA.
- A field invisible to visitors that remains empty when completed by a human user.
- A timestamp: as soon as you start using the form, our server provides a signed timestamp to verify that a minimum period has elapsed between the start of entry and submission.
- Server-side validation of all entries, together with limits on the number of enquiries and duplicate submissions.
To enforce these limits, we temporarily store the following on our web server, outside the publicly accessible area: the times of enquiries, a truncated hash of your IP address generated using a secret key that changes daily, and a hash of messages already accepted. We do not store your IP address itself or the content of your message for this purpose. The hashes are automatically deleted after ten minutes; timestamps that cannot be linked to an individual are deleted after 60 minutes.
The legal basis is Article 6(1)(f) GDPR. Our legitimate interest is to protect the contact form and our email inbox against misuse and automated spam messages.
9. Recipients
The recipient of your data is ALL-INKL, acting as our processor for hosting and email (Sections 4 and 6). Within our company, access is granted only to those individuals who handle your enquiry. No data are disclosed to other third parties unless we are legally obliged to do so.
10. Transfers to Third Countries
In connection with this website, we do not transfer personal data to countries outside the European Union or the European Economic Area.
11. Retention Periods and Erasure
We retain personal data only for as long as necessary for the relevant purpose.
We delete contact enquiries that do not lead to a business relationship or are not pursued further once it is clear that they are no longer needed. If an enquiry leads to a business relationship, we process the information required to perform the contract for the duration of that relationship.
Statutory retention obligations, in particular under commercial and tax law (Section 257 HGB and Section 147 AO), remain unaffected. Where such obligations apply, we retain the relevant documents for the period prescribed by law (Article 6(1)(c) GDPR) and subsequently delete them.
12. Your Rights
Under the General Data Protection Regulation, you have the following rights:
- Access to the personal data we process about you (Article 15 GDPR);
- Rectification of inaccurate or completion of incomplete data (Article 16 GDPR);
- Erasure of your data, provided there are no statutory grounds preventing it (Article 17 GDPR);
- Restriction of processing (Article 18 GDPR);
- Data portability, where processing is based on consent or a contract and is carried out by automated means (Article 20 GDPR);
- Withdrawal of consent with effect for the future, insofar as processing is based on your consent (Article 7(3) GDPR). The lawfulness of processing carried out before withdrawal remains unaffected.
To exercise your rights, simply send a message to info@meis-media.de.
Right to Object under Article 21 GDPR
Where we process your data on the basis of Article 6(1)(f) GDPR (legitimate interests), you have the right to object at any time to such processing on grounds relating to your particular situation. We will then cease processing the data concerned unless we can demonstrate compelling legitimate grounds for processing that override your interests, rights and freedoms, or unless the processing is necessary for the establishment, exercise or defence of legal claims. You can submit your objection informally to info@meis-media.de.
13. Right to Lodge a Complaint with a Supervisory Authority
Without prejudice to other legal remedies, you have the right to lodge a complaint with a data protection supervisory authority if you consider that the processing of your personal data infringes the General Data Protection Regulation (Article 77 GDPR), in particular in the Member State of your habitual residence, your place of work or the place of the alleged infringement. The supervisory authority responsible for us is:
Der Hamburgische Beauftragte für Datenschutz und Informationsfreiheit
Ludwig-Erhard-Str. 22
20459 Hamburg
Telephone: 040 428 54-4040
Email: mailbox@datenschutz.hamburg.de
Website: datenschutz-hamburg.de
14. Obligation to Provide Data
You are under no statutory or contractual obligation to provide us with personal data. To access the website, only the technically necessary transmission of the data referred to in Section 4 is required. Contacting us is voluntary; however, without the information marked as mandatory, we cannot process an enquiry submitted via the form.
15. No Automated Decision-Making
We do not use automated decision-making, including profiling, within the meaning of Article 22 GDPR.
16. Data Security
We take appropriate technical and organisational measures to protect your data. These include encrypted transmission of the website and contact form via HTTPS, hosting with a provider whose data centre is located in Germany under a data processing agreement, restricting access to individuals who require it for their duties, and storing the configuration and protective data for the contact form outside the publicly accessible area of the web server.
17. Changes to This Privacy Policy
We update this Privacy Policy when our website, the services used or the legal requirements change. The version published here at any given time applies.
